Type it once, see it in every document

This is an example with made-up details. Change the client, the days or the rate and step through the five documents.

Every document updates as you type. Nothing is saved.

Why it helps

Stop copying details between documents

A quote in one file, a SOW in another and an invoice in a spreadsheet drift apart. PaperworkPilot keeps them on one record.

Documents in separate files

  1. Last month’s file as a template. You copy an old quote, change the names, and hope nothing from the previous client is left in it.
  2. The same details, typed again. The client’s name, the project and the price go into the quote, then the SOW, then the invoice. One typo and the documents disagree.
  3. Chasing payment from memory. You work out which invoice is late and by how much, then find the words for a reminder that stays polite.

One record in PaperworkPilot

  1. Your company and clients, saved once. Address, tax number, payment instructions and each client’s details fill every document for you.
  2. Each document starts from the one before. A SOW starts from the project and its quote; an invoice from the quote or the SOW. You review and edit, not retype.
  3. Reminders written from the real balance. Pick a tone and the draft uses the invoice’s number, due date and what is still owed. You send it yourself.

What it makes

Every document a client project needs

  • Quotes

Lines, quantities and prices, with totals worked out to the cent for you. A finalized quote gets the next number, such as Q-2026-0001, and a PDF that never changes.

  • Statements of work

Scope, deliverables, milestones and assumptions, started from a template and your quote. You review the wording before you send it.

  • Invoice drafts

From a quote, a SOW or from scratch, with an optional tax rate you choose. Record payments to see what is paid and what is overdue. Every invoice prints “NOT A TAX INVOICE”.

  • Payment reminder drafts

Friendly, professional, firm or final notice, written from the invoice’s real balance and due date. Copy it or download it and send it from your own email.

  • PDFs that stay the same

Preview a draft as often as you like. Once finalized, a document is numbered and locked, and downloading it again is always free. If a PDF can’t be created, the credit comes back.

Credits

How many credits would you use?

Finalizing a quote, a SOW or an invoice uses 1 credit, and so does creating a payment reminder. Drafts, editing, previews and downloading again are free.

For each client you make

You would use about

24 credits

a month.

Starter covers it: 30 credits a month, $9 a month, plus tax where it applies.

What it doesn’t do

  • It sends no emails to your clients. You copy or download each document and send it yourself.
  • It collects no payments from your clients. Your invoices show your own payment instructions.
  • It gives no legal, tax or accounting advice, and no document is checked against any country’s rules. Review every document before you rely on it.
